Procedure for Renting Okutama Bible Chalet Facilities

for Your Own Programs (OBC Facilities Rental Policies)

Thank you for your interest in using Okutama Bible Chalet (OBC). We are here to serve the Lord and His church by providing facilities for Christian camps, retreats, and conferences.

Please keep the following in mind as you register and plan your program:

1. Inquiry and Registration

Our contact information is in the sidebar on the right of this site.  Please contact us for information regarding available dates and prices. We must receive your registration form and registration fee for your dates to be reserved. 

2. Registration Fee/Cancelation Fee
10,000 yen for groups of up 50 people. 50,000 yen for groups of 50 or more people.
This amount will be credited to your total payment and is not an additional charge. Please send your fee along with your registration form. Instructions are at the bottom of the registration form.

In case of cancellation, the registration fee will not be returned.

Cancellation fees:

a. Cancellation within a month of reservation: 50% of the number of people x 3-5 year old over night fee x days reserved – Registration fee.

b. Cancellation on the day of or the day before the reserved day: 90% of the number of people x Rental charges x days reserved – Registration fee

c. Cancellation of more than 15 people within a month of resevation: (60% of the number of people reserved – the number of people remaining) x 3-5 year old over night fee x days reserved.

d. Cancellation within a week before the reservation: the number of people cancelled x 3-5 year old meal charge for each meal reserved.

3. Check in and Check out
Check In is 3:00 PM and Check Out is at 2:00 PM. Please remember these times as you plan your program, so that you will not inconvenience groups before or after you. Groups that arrive on the property early or remain late will pay an extra fee.

“Day Camps”, groups that are only here for the day and do not stay overnight are the exception to the above. Day Camps check in is at 9:00 AM and check out at 8:00PM.

4. Meal Times
When OBC provides your meals they will be served as follows:
Breakfast 8 AM
Lunch 12:00 PM
Dinner 6:00 PM
We often serve several groups at the same time. Please be on time for meals so that they can be served fresh and hot.

5. Clean-up
The OBC staff will do all that we can to have your rooms clean and ready when you arrive. We request that you leave your rooms as neat as they were when you arrived, giving special care to fold the blankets and futon neatly. Theoretically we have one hour between groups to clean and prepare, but this is not always adequate. Therefore, we ask for your cooperation in this as a courtesy to other groups.

Please report any breakage, or problems with equipment or facilities to the staff. We do ask that you reimburse us for any damage to property or equipment caused by your group.

6. Orientation
A member of our staff needs 10 minutes during your group’s orientation time in order to explain some very important safety and operation procedures to your group. Please plan for this time when planning your schedule.

7. Regulations
a. No alcoholic beverages are permitted on the property.
b. No smoking is permitted in any of the buildings at any time.
c. For the sake of the neighbors, please keep noise down in early morning and after 9:30 PM.
d. Do not retrieve balls that roll down the driveway. Traffic on the road in front of the property is often heavy and dangerous. Also, we must insist that no one go into the neighbor’s property across the road.
